This policy explains how LuXe Concierge Aesthetics (“LuXe,” “we,” “us”) collects and uses information through our website, our online booking and contact forms, our website chat assistant, and our social media accounts.

A note about your medical records

This policy covers information collected through our website and social media. It does not govern your protected health information as a patient of the practice. Patient medical records are handled under our Notice of Privacy Practices and applicable federal and Florida law, which is a separate document available at our office on request. If you are a patient and your question is about your chart, treatment records, or clinical communications, that document — not this one — is the one that applies.

Information we collect

Information you give us directly

When you fill in a contact form, request a consultation, book an appointment, join our email list, or message us, we collect what you choose to provide — typically your name, email address, phone number, and whatever you write in the message. Appointment booking is handled through our scheduling provider, which maintains its own records under its own agreement with us.

Information collected automatically

Like most websites, ours records technical information when you visit: IP address, browser and device type, pages viewed, time spent, and the site that referred you. We use cookies and similar technologies for this. You can refuse non-essential cookies through the banner shown on your first visit, or block them in your browser settings; the site will still work.

Conversations with our website chat assistant

Our site offers an AI chat assistant that answers questions about treatments, pricing, and scheduling. The messages you type are processed by a third-party AI provider in order to generate a response, and are retained by us so we can follow up if you asked us to. Please do not enter medical history, diagnoses, medications, or other health details into the chat. It is a general information tool, not a clinical channel, and it is not the appropriate place for anything you would want protected as a medical record.

Comments and messages on our social media accounts

We operate accounts on Instagram, Facebook, and TikTok. When you comment on one of our posts or send us a message on those platforms, we receive the content of your comment or message, your username and platform user ID, and the post it relates to. This information comes to us through the platforms’ official APIs, subject to their own terms and to the privacy settings on your account.

We use this information to reply to you, to answer questions about our services, to hide spam, and to keep a record of what our accounts have said and when. If your comment indicates you are interested in booking, we may record that interest so we can follow up.

Automated replies to social media comments

We use software to help manage the comment sections of our social accounts. It reads incoming comments and, for routine questions — pricing, hours, location, how to book — posts a reply that we wrote in advance. It also hides comments that match our spam filters.

The software does not answer clinical questions and does not discuss anyone’s treatment. Comments that ask about medical suitability, describe a health concern, raise a complaint, or identify the person as a patient are set aside for a licensed member of our staff to read and answer personally. Nothing about your care is ever handled automatically.

We record the comment, the platform user ID it came from, and the action taken, in a private database that we control. We use those records only to avoid replying twice to the same comment, to limit how often our accounts post, and to maintain an audit trail. We do not sell this information, and we do not share it with advertisers or data brokers.

How we use information

  • To respond to your questions and consultation requests
  • To schedule, confirm, and remind you about appointments
  • To send you marketing emails or texts, where you have asked to receive them — you can unsubscribe at any time using the link in any email, or by replying STOP to a text
  • To operate and improve our website and understand which pages are useful
  • To manage our social media presence, including the automated comment handling described above
  • To meet our legal, professional, and record-keeping obligations

Who we share information with

We do not sell your personal information. We share it only with service providers who need it to do work on our behalf, and only for that purpose. These fall into a small number of categories: our website host and maintenance provider; our appointment scheduling platform; our email and text marketing platform; analytics providers; the AI provider that powers our chat assistant and comment replies; and the social media platforms themselves.

We may also disclose information where the law requires it, where it is necessary to protect someone’s safety, or in connection with a sale or transfer of the practice.

How long we keep information

Website enquiries and marketing contacts are kept for as long as you remain a contact of the practice, and are deleted on request. Social media comment records are kept for two years, which is long enough to serve their purpose as an audit trail. Website analytics data is kept according to the retention setting of the analytics tool, generally no more than 26 months.

Patient medical records are a separate matter and are retained for the period Florida law requires, regardless of any request to delete other information.

Your choices

You may ask us to tell you what information we hold about you, to correct it, or to delete it. You may unsubscribe from marketing at any time. You may refuse non-essential cookies. You may also delete your own comments on our social posts directly through the platform, which removes them from public view.

To make a request, see our data deletion page or write to us using the contact details below. We will respond within 30 days. We may need to verify your identity before acting on a request, and we will tell you if there is information we are legally required to keep.

Children

Our services are intended for adults. We do not knowingly collect information from anyone under 18 through this website. If you believe a minor has provided us information, contact us and we will delete it.

Security

We use reasonable administrative and technical measures to protect the information we hold, including access controls and encrypted transmission. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Links to other sites

Our site and social posts may link to other websites — product retailers, manufacturers, booking tools. We are not responsible for their privacy practices, and we encourage you to read their policies.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Material changes will be noted on this page.
